Summary

One of our popular features is our Groups functionality. Which is a setting on Membership Type that activates Group Registration. This article explores some of the features that we provide for Org Admins to manage groups.

Details

Within Join It, a 'Group' is an association between multiple Memberships. When viewing a Membership record, you can see whether the membership is associated with a Group or not.

How to Navigate to a Group

To navigate to the respective page for a Group, you'll first find to one of the Memberships who belong to the Group that you're working on.

Then you'll click on where it says 'Member of a Group' at the top of the Membership, or the 'Group info' button at the bottom of the membership (screenshots below)

Here's the two best ways to open your Groups tab:

In this article, we'll go over a variety of different tools that we provide to org admins to assist in managing groups. These include:

  • Update Name of Group

  • Bulk Update Status (on Memberships in Group)

  • Bulk Update Expiration Dates (on Memberships in Group)

  • Bulk Update Membership Types (on Memberships in Group)

  • Add a new Membership

  • Add an existing Memberships

Update Name of Group

  • To update the Group name you'll first click go to the Groups page (directions above)

  • Then you'll click on the button that says 'Update Group Name'

Bulk Update Statuses

Follow these steps to Bulk Update the statuses of all the Memberships within the Group.

  1. First, navigate to the respective Groups' page (see directions above on 'How to Navigate to a Group')

  2. Then you'll click 'Update Status of All Groups Members'

  3. Then click on the Status you'd like the Members updated to and determine if you'd like the system to send out generated email to notify them of their change in status (when updating to the Expired or Cancelled status)

  4. Then click 'Update Status'

  5. You're all set!

Bulk Update Expiration Dates

  • To Bulk update the Groups Expiration dates you'll want to go to the Group page (Directions above)

  • Then you'll click 'Update Status of All Groups Members'

  • Then click on 'Bulk Update Expiration Dates for Group'

  • You'll leave the status on the current status so it doesn't update that (unless you want it to be updated)

  • There you can add the date you want the members to be updated to then click 'Update status'.

  • To Bulk update the Groups Membership types you'll want to go to the Group page (Directions above)

  • You'll want to click on the 'Update Group Membership Type' button

  • Then select the Membership type you want to update the Group to

  • Then click 'Update Membership type'
