Summary

Join It provides a helpful 'merge tool', so that from any membership record, you have the ability to merge another membership record.

Details

Sometimes there are multiple membership records that need to be combined into a single record. To support this, we've built an easy-to-use Merge Tool.

When you use the Merge Tool, it'll walk you through the search and selection of the record that you'd like to be merged. Once selected, the Merge Tool will help you Merge Data and the Payment Records will automatically be merged.

Selecting Data to Merge

Once you've selected the two Membership records that are going to be merged, then you'll have the ability to select which data from each record is used to for the merge.

You'll make a selection for each of these fields:

  • Email

  • External ID

  • Date Joined

  • Expiration Date

  • Profile and Custom Fields

Handling of Payment Records

Once the merge is confirmed, all of the associated Payment Records will be automatically associated with the record that is the result of the merge. So this is automatically taken care of without any additional action from you.

Preview of Result

During the Merge, you'll be able to see a 'Preview of Result' which is a preview that's dynamically generated based on your current selections within the 'Merge Wizard'.

If you'd like to see the individual records with their respective data, there are previews at the bottom of the 'Merge' page which show the 'Primary Record' and 'Merging Record'.

Steps to Merge

Below are all of the steps that you need to take to merge 2 Membership Records:

  1. Navigate to the Membership Record that you want to become the Primary Record

  2. Scroll to the bottom right hand corner and click on the button that says Merge Records

  3. Search for the record that you want to merge - you can search by Email, Name, Company or Phone.

  4. From the Search Results, select which Membership Record you'd like to merge

  5. Within the 'Merge Wizard', select which values for each of the 5 options that you'd like to use (Email, External ID, Joined Date, Expiration Date, and Profile/Custom Fields).

  6. Select the green button labeled "Merge Memberships" - and you're done! Nice work. :)

Frequently Asked Questions

Can I undo a merge of membership records?

No, you can not! All merges are final and the data is permanently deleted and overwritten.
