Renewal Reminder (Type A) Overview

Features of Renewal Reminder (Type A)

  • Customizable Message (by Membership Type): Tailor the Renewal Reminder to suit specific membership types. This allows organizations to personalize messages, making them more engaging and relevant to the recipient. You can also select which membership types should receive the reminder when creating it.

  • Unique Renewal Link: Each reminder includes a one-step renewal link that leads the recipient directly to a pre-filled checkout page, eliminating the need for logging in. This streamlined process encourages quick and hassle-free renewals.

  • Admin Notification Settings: Through the Communications tab, organizations can customize which admins are BCC'd on these messages, ensuring the right people are kept in the loop.

  • Draft Emails: When you create a Renewal Reminder, it will initially be saved as a 'Draft.' This ensures no emails are sent out until you’re ready to make it 'Live.'

  • Send a Test: To preview how the Renewal Reminder will appear before it’s sent to your members, you can send a 'Test' email to your email address on file.

Renewal Reminder Triggers

The Renewal Reminder Trigger is based on the number of days before or after a membership's expiration date. This allows you to configure automated reminders to be sent at specific intervals, either in advance of the expiration or shortly after it has passed, ensuring your members are notified at the right time.

These are the Trigger options:

  • 1 day before or after a membership's Expiration Date

  • 2 days before or after a membership's Expiration Date

  • 7 days before or after a membership's Expiration Date

  • 30 days before or after a membership's Expiration Date

You can set up a Renewal Reminder for each of the above Events if needed, so no need to choose only one.

Setting up the Renewal Reminder (Type A)

With Join It, reminding your members to renew their membership is effortless. In just a few simple steps, you can schedule friendly, automated emails to go out before or after a membership expiration date. Once set up, it runs seamlessly on its own!

Step 1: Click "Create Renewal Reminder": Start by navigating to the 'Communications' tab, where you'll find the "Renewal Reminder" section. Select Renewal Reminder Type A, then click the "Create Renewal Reminder" button to begin.

Step 2: Select the Email Trigger: Choose when the email should be sent using the drop-down menu. This allows you to set the timing that works best for your members.

Step 3: Specify Membership Types: Decide whether the reminder should go out to all membership types or only specific ones. Simply select the membership types you'd like to target.

Step 4: Customize the Email Content: Craft the body of your email, add a subject line, and include any relevant details. Highlight the value of membership by reminding recipients of key benefits or other important information they should know.

Step 5: Activate the Email: Once you’ve finalized the email content, click "Update Template" to save your changes. When you’re ready for the email to go live—meaning it will be sent to members when triggered—click the "Go Active" button at the top of the page. After that, you're all set!

How do I change the Contact email?

You can edit the 'Contact' email under the 'Member Portal' tab in your Dashboard. From there, click on 'Portal Information,' then select 'Edit Contact Info' to make the necessary changes.

What if my Memberships automatically re-bill?

There's a separate email called Renewal Reminders (Type B) which is triggered ahead of an automatic renewal. This will only be triggered if the membership is set up to automatically rebill - so that way you can customize the message separately for each of these different scenarios.
