Collect and report Gift Aid with Join It

Gift Aid allows eligible UK charities and Community Amateur Sports Clubs (CASCs) to claim an additional 25p for every £1 donated, without costing the donor more. Join It can collect Gift Aid declarations during online donations and prepare the donation schedule needed for an HMRC claim.

Who uses Gift Aid

Gift Aid for Organizations

Join It’s Gift Aid tools are available to organizations that:

  • Are based in the United Kingdom

  • Use GBP as their Join It currency

  • Are a charity or CASC eligible to claim Gift Aid

  • Have a legal name and either a charity number or CASC reference

Your organization is responsible for confirming that it is registered and eligible to claim Gift Aid with HMRC.

Gift Aid for Donors and donations

The donor must:

  • Be an individual donating their own money

  • Have paid, or expect to pay, enough UK Income Tax and/or Capital Gains Tax to cover the Gift Aid claimed across all their donations that tax year

  • Provide their full name and home address

  • Accept the Gift Aid declaration during checkout

A donor may live outside the UK if they pay sufficient UK tax. They must provide their full overseas home address. Donors in the Channel Islands or Isle of Man should not provide a postcode.

The current Join It declaration covers only the donation being made. It does not cover past or future donations, and declarations cannot currently be added retrospectively. The tools apply to standalone online donations, not membership, event, merchandise, or company payments.

What our Gift Aid tools do

Once Gift Aid is enabled:

  1. Donors see an optional Gift Aid section on your public donation form and donation widget.

  2. A donor who opts in provides their full name, home address, and tax confirmation.

  3. Join It records the exact declaration wording shown to the donor.

  4. The declaration is saved after the donation is successfully paid.

  5. The donor receives an email containing a written record of the declaration.

  6. The payment is labelled with a Gift Aid badge in your dashboard.

  7. The declaration appears in your Gift Aid report.

Organization owners can record a donor’s cancellation from the payment details. The declaration remains available for audit purposes but is excluded from future exports.

How to set up Gift Aid

  1. Confirm that your organization’s address is in the United Kingdom and its currency is GBP.

  2. In your Join It dashboard, go to Finances.

  3. Select UK Gift Aid.

  4. Open the Settings tab.

  5. Enter your charity or CASC legal name.

  6. Enter either your charity number or CASC reference.

  7. Select Enable Gift Aid declarations on donations.

  8. Select Save changes.

Gift Aid will then appear on your public donation checkout. Consider making a test donation to review the donor experience and confirm that your legal name appears correctly.

Enabling and collecting Gift Aid declarations does not require the Extra Package. Generating HMRC exports does.

Reporting for Gift Aid

Open Finances → UK Gift Aid → Reports to review declarations.

You can filter the report by:

  • Donation date

  • Declaration date

  • Status

Each row shows the donor, donation date, donation amount, estimated Gift Aid, declaration date, status, refund information, reason for any issue, previous export date, and a link to the payment.

“Not ready” reasons include an incomplete payment, any full or partial refund, missing donor details, or a written confirmation that has not yet been sent.

Exporting for HMRC

Organization owners on the Extra Package can:

  1. Select Claim ready donations.

  2. Select Export for HMRC.

  3. Download the generated .ods schedule.

  4. Review it and upload it when submitting the claim through HMRC Charities Online.

Previously exported donations can be selected again, but Join It asks for confirmation and records the re-export. Cancelled and not-ready declarations cannot be exported.

The Export history records when each file was created, who created it, its row count and donation total, filename, file part, and included payments. Previous files can be downloaded again.

HMRC limits each Gift Aid schedule to 1,000 donation lines. Join It’s export format follows the official schedule structure; see HMRC’s schedule spreadsheet guidance.

Join It prepares records and an HMRC-compatible schedule. It does not verify final tax eligibility, submit the schedule, or make the Gift Aid claim on your organization’s behalf.

Frequently asked questions

Does Join It collect Gift Aid information on membership payments?

No. Join It currently collects Gift Aid declarations only for standalone online donations made through your public donation page or donation widget.

Gift Aid is not collected on membership fees, event registrations, merchandise, or other payments. Although some charity membership payments may qualify under HMRC rules, eligibility is complex and is not handled by Join It’s current Gift Aid workflow.

Is there an additional fee for Gift Aid?

There is no separate fee for enabling Gift Aid, collecting declarations, or viewing the Gift Aid report.

Does Join It submit the schedule or make the Gift Aid claim on our behalf?

No. Join It creates an HMRC-compatible .ods donation schedule for your organization to download, review, and upload through HMRC Charities Online.

Your organization remains responsible for checking eligibility, submitting the schedule, and making the claim.

Which organizations can use Join It’s Gift Aid tools?

Your organization must:

  • Be based in the United Kingdom

  • Use GBP as its Join It currency

  • Be eligible to claim Gift Aid as a charity or Community Amateur Sports Club

  • Provide its legal name and either a charity number or CASC reference

Which donors can select Gift Aid?

The declaration is intended for individuals who have paid, or expect to pay, enough UK Income Tax and/or Capital Gains Tax to cover the Gift Aid claimed on all their donations during that tax year.

The donor must be donating their own money and must accept the declaration shown during checkout. See HMRC’s Gift Aid guidance for the complete eligibility rules.

Can donors who live outside the UK use Gift Aid?

Yes, provided they have paid enough UK Income Tax or Capital Gains Tax in the relevant tax year.

They must provide their full overseas home address. Donors in the Channel Islands or Isle of Man should not provide a postcode.

What information does Join It collect from donors?

Join It records:

  • The donor’s full name and home address

  • Their confirmation that they meet the UK tax requirement

  • The exact declaration wording shown

  • The declaration wording version

  • The date and time of the declaration

  • The associated donation and payment

  • Technical audit details such as the declaration source

Does one declaration cover future donations?

No. Each declaration collected by Join It currently applies only to the donation being made. A donor must opt in again for each subsequent donation.

Can we add Gift Aid to an earlier donation?

Not currently. Join It does not provide a way to add or backdate a declaration after checkout. Gift Aid declarations are collected while the donor is making the donation.

When is a declaration saved?

The declaration is finalized only after the associated donation is successfully paid. An abandoned or unsuccessful checkout does not create a completed Gift Aid declaration.

Does the donor receive a copy of their declaration?

Yes. Join It automatically emails the donor a written record containing the charity name, donation information, donor details, declaration wording, and declaration date.

If the written record has not been sent successfully, the donation appears as Not ready in the report until the issue is resolved.

Where can we view a declaration?

A Gift Aid badge appears beside the associated payment. Open the payment to see the donor’s address, declaration wording, declaration date, written-record status, and any cancellation date.

You can review all declarations under Finances → UK Gift Aid → Reports.

What do the report statuses mean?

  • Claim ready: The donation is paid, complete, not refunded or cancelled, and its written record was sent.

  • Exported: The declaration was included in a previous export.

  • Not ready: The declaration cannot currently be exported. The report displays the reason.

  • Cancelled: The donor’s cancellation has been recorded.

What happens when a donation is refunded?

Join It marks any fully or partially refunded donation as Not ready, preventing it from being included in an export.

HMRC may allow Gift Aid on the remaining amount in some partial-refund circumstances, but Join It does not calculate that adjustment automatically. Review these cases separately against HMRC’s detailed guidance.

What happens if a donor cancels their declaration?

An organization owner can record the cancellation from the payment details.

Join It keeps the original declaration for audit purposes, records the cancellation date, and prevents the donation from being included in future exports.

Can an exported donation be exported again?

Yes. Join It asks you to confirm the re-export and creates another entry in the export history. Check carefully before uploading it again to avoid submitting a duplicate claim.

What information is included in an HMRC export?

The schedule includes the information required for each selected donation, including the donor’s first and last name, address information, donation date, and donation amount.

The report’s estimated Gift Aid column is for reference; the export contains the donation amount used by the official HMRC schedule.

What file format does Join It generate?

Join It generates an OpenDocument Spreadsheet with the .ods extension, based on HMRC’s Gift Aid donation schedule.

Do not rename the worksheet or convert the file to another format before uploading it. HMRC provides additional schedule spreadsheet guidance.

Who can configure and export Gift Aid?

Organization owners can update Gift Aid settings, record cancellations, and generate or download HMRC exports. Other authorized organization users may be able to review the report and declaration information according to their dashboard access.

Does Join It determine whether a donation legally qualifies?

No. Join It collects declarations, identifies common readiness problems, keeps an audit trail, and prepares the HMRC schedule.

The charity or CASC remains responsible for confirming that the organization, donor, and donation meet HMRC’s rules.
