Summary

When creating emails in Join It using our Froala Editor, it's important to be mindful of how the content is added. Sometimes, copying and pasting from external sources can introduce hidden formatting and excess code behind the scenes, causing your email size to grow too large and fail to send.

This article covers best practices to prevent oversized emails and how to fix them if they do happen.

Best Practices for Troubleshooting Emails Not Sending

Why Emails Become Too Large

Emails have a size limit—generally around 100KB for most providers, including Gmail. If your email exceeds this size, recipients may:

  • Not receive the email at all

  • See truncated content (cut off with a "View Entire Message" link)

  • Get an email that fails to send through Join It

Common reasons emails become too large:

  • Copying/pasting from Join It or outside sources

  • Inserting many images or large images

  • Pasting an image or media into the editor.

  • Repeatedly editing and saving content (which can build up bloated HTML)

  • Hidden formatting or style tags added by external sources

  • Pasting a lot of formatting into the editor.

Ways to Prevent Emails from Getting Too Large

1. Use the "Clear Formatting" Option

After pasting content, use Froala’s "Clear Formatting" feature to remove hidden styles that aren’t needed. Tip: Highlight your content and click the “Clear Formating” button in the toolbar.

2. Paste as Plain Text

Avoid formatting bloat by pasting content as plain text. You can do this by:

  • Pasting with Ctrl+Shift+V (Windows) or Cmd+Shift+V (Mac)

  • Using a plain text editor like Notepad or TextEdit as a middle step

3. Use the Editor Directly

Whenever possible, type directly into the Froala Editor rather than copying from external programs.

4. Keep Formatting Simple

Avoid excessive use of font changes, colors, inline styles, or large tables. Clean and minimal formatting = smaller email size.

5. Optimize Images

  • Compress image files before uploading

  • Use smaller resolution images (under 1000px wide is usually sufficient)

  • Avoid inserting images via copy/paste—upload them directly using the image tool

How to Fix an Email That's Too Large

If you're seeing a “too large to send” error when trying to send your message, here are a some options you can use to quickly clean up the content:

  • Click “Edit text of message”
Start by clicking the “Edit text of message” link next to your message. This will open the Froala Editor so you can view and make changes to the content.

  • Remove Extra Spacing
Look out for extra spacing within the Email or extra formatting that isn't needed.

  • Remove or Resize Images
Large or multiple images can inflate the size of your email. Consider removing any that aren't essential or replacing them with smaller, optimized versions.

  • Clean the Text Using Google Sheets
Copy your email content and paste it into a Google Sheet. Then, copy the content again from the sheet and paste it back into the Froala Editor. This helps strip out hidden formatting while preserving the plain text.

  • Use Tools to Remove Extra Markup
