Accept in-person membership payments with Stripe Terminal

Collect in person payments through Join It

Written by Mitch Colleran

Bring your membership sign-up experience to your front desk, clubhouse, or next membership drive. With Stripe Terminal, you can create a membership in Join It and collect payment on a supported card reader; all in one workflow.

Summary

Make joining easier, wherever you meet your members

  • Complete sign-ups on the spot. Help someone join while they’re already with you.

  • Reduce manual administration. Join It records successful payments against the membership, including the reader and location used.

  • Offer familiar ways to pay. Members can use supported cards and contactless wallets, including Apple Pay and Google Pay. See Stripe’s supported payment methods.

  • Start recurring memberships in person. Collect the initial payment and, with the member’s agreement, save a supported card for future automatic billing.

  • Support your team across locations. Choose the location and reader for each payment.

Set up your card reader

Before you begin, you’ll need a Stripe account connected to your organization in Join It, a supported Stripe Terminal reader, and an internet connection. An organization owner or manager should complete the setup.

Join It currently supports Stripe Reader S700, Stripe Reader S710, and BBPOS WisePOS E. Check Stripe’s reader availability for your country before purchasing hardware.

  1. Open your card reader settings.
In your Join It dashboard, go to Finance → Taxes & Settings. Find Card readers and select Manage card readers.

  2. Enable card readers.
Turn on Enable card readers to allow admins with membership write access to collect payments.

  3. Add a location.
Select Add location. Enter a recognizable display name, such as “Clubhouse Reception,” and the physical address. The Country field uses a two-letter code, such as US, GB, or CA.

  4. Save and confirm the connection.
Select Save location. Join It creates the corresponding location in Stripe. Wait for the location to show Linked. If it shows Not linked, review the error, correct any details, and select Retry.

  5. Register your reader in Stripe.
Power on the reader and connect it to the internet. In the Stripe Dashboard for the same Stripe account connected to Join It, open Terminal → Readers → Register reader. Enter the reader’s pairing code, give it a recognizable name, and assign it to the location you created through Join It. Follow Stripe’s reader registration guide for device-specific instructions.

  6. Confirm the reader appears in Join It.
Return to your card reader settings, select the location, and click Refresh. Your registered reader should appear and be online.

Collect an in-person membership payment

Once setup is complete, admins with membership write access can collect payments from the Add Members page.

  1. Go to Members → Add Members.

  2. Select the membership type and keep Quantity set to 1.

  3. Under Payment Options, choose Collect on card reader.

  4. Enter the member’s information and click Proceed to Payment.

  5. Review the amount, then select the correct Location and Reader.

  6. For a recurring membership, review the billing details with the member. Confirm their agreement before selecting “The member agrees to save their card and be charged automatically.”

  7. Click Start collection.

  8. Ask the member to follow the reader’s instructions to present their card or supported digital wallet.

  9. Wait for Join It to display Payment succeeded, then select View membership.

Join It records the successful payment and completes the membership creation process. If the status is still processing or being checked, wait for confirmation before starting another payment.

Frequently asked questions

Which memberships can I sell through a card reader?

This flow supports new, paid individual memberships, including one-time and recurring memberships. It currently handles one membership per transaction. Group memberships, donation-based prices, and free memberships aren’t eligible for this payment option.

Which currencies are supported?

Join It currently supports Terminal payments in USD, GBP, and CAD. Stripe also applies regional requirements to reader availability and payment methods.

Can I use an existing reader?

Yes, if it is a supported Stripe Terminal model and is registered to the Stripe account connected to Join It and the correct Terminal location. A reader from another payment provider won’t automatically work with this integration.

Can I accept payments using only my phone?

This feature requires a supported physical reader. Tap to Pay directly on a phone isn’t included in Join It’s current Terminal integration.

Do I need an internet connection?

Yes. Your device running Join It and the reader need internet connectivity. This integration doesn’t support collecting card payments offline. Learn more about Stripe’s connectivity requirements.

Why can’t I see “Collect on card reader”?

Check that card readers are enabled and that your organization has a successfully linked Terminal location. You also need permission to add memberships.

If the option appears but you can’t proceed, check the membership type, quantity, currency, and whether your organization is in Test Mode. Join It’s Terminal checkout isn’t available in organization Test Mode.

Why isn’t my reader appearing, or why can’t I select it?

Confirm that the reader is powered on, connected to the internet, and registered to the correct Stripe account and location. Then select Refresh readers. Offline or unsupported readers can’t be selected.

What happens if a payment is declined?

Join It displays Payment declined. Ask the member to try another card or payment method, then use the retry option on the existing collection screen.

What should I do if the payment seems stuck?

If Join It displays Checking status, select Check status. This checks the existing payment’s outcome. If the reader shows a successful payment but Join It hasn’t finished updating, check the status before attempting another charge.

What does “Payment received; recurring setup incomplete” mean?

The initial payment was received, but Join It couldn’t finish saving a payment method for future automatic billing. Select Request replacement card and follow the prompts to complete the recurring setup. The initial payment should not be collected again.

Can I use more than one location or reader?

Yes. Add your locations in Join It and register each reader to its appropriate location in Stripe. When collecting a payment, choose the location and reader you want to use.

Where can I find the payment afterward?

Open the membership record or go to Finance → All Payments. The payment details identify the reader and location used for the collection.

Can I delete a location?

A location that failed to link to Stripe and has no Stripe location attached can be deleted from Join It. Locations already linked to Stripe don’t offer a Delete option.
